The General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) requires all organisations within the EU who process Personal Data to be transparent on how, why and what data is captured, stored and processed; the lawful basis for holding and processing personal data; how individuals can access information on themselves held by the organisation; and how they can control, or object to, the use of their personal data.

Counterpoints Arts is committed to protecting your privacy and complying with these regulations. This statement sets out how this is implemented across all of our communications channels, applications and networks, and details your rights in relation to your personal data that Counterpoints Arts captures, stores and uses.

What information do we collect?

You give us your information when you subscribe to our mailing lists, make a purchase online, sign up for one of our events, make a donation, tell us your story, communicate with us via email or apply for a job. We keep a record of the emails we send you and like most websites, we receive and store certain details whenever you use the Counterpoints Arts website. The information collected in this way cannot identify you personally but provides data on what you do on the site.

The Counterpoints Arts website uses cookiesto help us make our site and the way you use it better. ‘Cookies’ are small text files that are stored by the browser on your computer or mobile phone. Counterpoints Arts may use information you have made available publicly in places such as Companies House, your biography on your work website or information that has been published in online and print articles. 

We may combine information you provide to us with information available from external sources in order to gain a better understanding of our audiences. These sources include third party organisations such as independent fundraising sites like Just Giving and social media. We advise you to check their privacy policies when you give them your information to fully understand how they will process your data. Counterpoints Arts accepts no responsibility or liability for content on third party websites.

What we use your information for

We aim to be clear when we collect your data and to not do anything you wouldn’t reasonably expect. If you sign up to our mailing list or give a donation we usually collect your name and contact details. We use this data to provide you with information on events and organisation updates. Occasionally we may let you know about partner organisations and organisations that support us. We make it easy for you to opt out of these communications at any time. Every email sent to you will tell you how to do this. If we run an event in partnership with another named organisation your details may need to be shared in order that they can help us run the event.  

How do we keep your information safe and secure?

Your personal data will be held and processed on Counterpoints Arts’ systems or systems managed by suppliers on behalf of Counterpoints Arts. We maintain a customer relationship management system (CRM) system to hold contact details and a record of your interactions with Counterpoints Arts such as project proposals, donations, attendance at events, donations and ticket purchases. Your data is always held securely and access to information is strictly controlled. We may need to disclose your details if required to the police, regulatory bodies or legal advisors. We will only ever share your data in other circumstances if we have your explicit and informed consent.

Third Parties

We may share anonymised personal information with other organisations, particularly Arts Council England, who use this to analyse our audience development programmes, event attendance and self-generated funding to understand the impact of public funding made to Counterpoints Arts.

Sensitive information

Sometimes we ask you to provide sensitive information, for example when you participate in some activities or when you apply for a job. As with all personal information we hold, sensitive information is held securely and restricted to those who need to use it. We will delete sensitive information when we no longer need it.

Counterpoints Arts will always verify your identity before processing your request. To do this we might ask for another form of identification and ask for proof that you are the person asking this.
